The application form for the operating grant TAHLO is also used as HYY's organisation database and now you can submit the contact information of organisation members in the year of 2016. The year draws to a close and your organisation's financial statements are looming on the horizon. But what should you enter in the balance sheet account? What is included in the financial statements? What is the difference between assets and liabilities in the balance sheet? Who signs the financial statements?

HYY organises a financial statement evening for treasurers where you learn to prepare the financial statements for your organisation. APA Johanna Hildén is the instructor. The action-filled year of HYY's Committee for Organisational Affairs will culminate in the election meeting organised on 3 Dec. In the election meeting, the chair, vice chair and secretaries are elected for the following year. However, you can also join the committee activities in the middle of the year!

Are you interested in developing the Student Union's organisation field or do you just want to get to know other organisation members and be inspired?
You can do all this in the Committee for Organisational Affairs!

How has you term as chairperson gone? Like a bed of roses? Or have you felt completely on your own? What do you need to remember regarding the end of the year and how can you brief your successors well?
 
Come and meet others in the same situation and spend a relaxed evening together!
Staff members from HYY will also talk about current affairs concerning organisations and the event can offer an excellent opportunity to discuss with and give feedback to HYY.

The seminar will be held mostly in Finnish. It will include a common opening session, two workshops, a brief closure and an after party. A more detailed schedule of the seminar can be found in the beginning of the e-form.

During the seminar, there will also be a workshop intended for people interested in running for chair. The workshop starts at 7pm and lasts 45 minutes. This workshop will cover the things you need to know before applying to the post of chairperson. In the workshop you will acquire essential knowledge about the Student Union and how it operates, and you will also hear comments and thoughts from former chairpersons about their year as chairperson. There will also be a chance to ask questions.

There is no limit to how many can participate from one organisation, however the overall maximum of participants is 80.

Alina hall can be booked during reservation rounds. There are two reservation rounds during the spring. In addition, an advance booking session is organised. During these rounds, you can make two (2) reservations for Alina hall for the spring of 2016. You must have completed the user training for Alina hall by your own reservation date during the current calendar year. Additional compulsory training events may be organised during the year, if found necessary. If an organisation does not participate in the training session, the reservation will expire.
Reservations are made through an electronic form.

Advance reservations
Advance reservation period is 19.–25.10. During this period, organisations have the opportunity to book festive premises in advance before the beginning of actual booking rounds if they have a well-grounded reason (e.g. anniversary) to apply for a specific date.

Actual reservation rounds
Reservations are made during two rounds. On each round, you can apply for one reservation for Alina hall if you have not made an advance reservation for Alina.Organisations must check the available hours from the Student Union's electronic calendar at
http://hyy.helsinki.fi/varaukset/. Reservation rounds will be organised on 29 Oct – 8 Nov and 11 Nov–16 Nov.
The arrival time of the reservation does not affect the status of booking, but incomplete or late applications will not be processed. If there are overlapping bookings, the organisations in question will be offered other available dates through mediation. If agreement is not reached, the matter is settled by drawing lots. The Committee for Organisational Affairs is in charge of the mediation and the raffle.
NB! The contact person designated by the organisation should be reachable by telephone after the end of both booking rounds when bookings will be processed. In this way, the mediation of overlapping bookings is possible. Organisations should also consider alternative dates in case the original booking overlaps with an event of another organisation. Please make sure before each booking that the requested date is available!

You can participate in the contest by sending an overall badge or a sketch. We are again looking for the best organisation paper. Will your subject organisation win the title of the best paper? Find out and participate in the organisation paper contest organised by HYY's Committee for Organisational Affairs.
You can participate in the contest by submitting one printed or digital issue from the year of 2015 to HYY's Central Office (HYY, Mannerheimintie 5 A, 00100 HKI) with a covering letter. The letter should be addressed to HYY's Committee for Organisational Affairs / Organisation Paper Contest.
Please submit digital material with a covering letter to the chairperson of HYY's Committee for Organisational Affairs at tero.juutilainen(a)helsinki.fi. The covering letter must include the organisation which edits the paper, as well as the name, e-mail address and telephone number of the contact person. The letter should be addressed to HYY's Committee for Organisational Affairs / Organisation Paper Contest. Delivered material will not be returned. The winner will be elected by the jury of three experts convened by HYY's Committee for Organisational Affairs. The jury will select the winner only based on the delivered paper. No additional material will be taken into account. The members of the jury will be published in connection with the announcement of the winner.

Cooperation event contest
 
Have you always wanted to organise an event with another organisation but have not done it yet? Execute your idea and participate in the cooperation event contest organised by HYY's Committee for Organisational Affairs!
 
The event can be of any kind, but at least two or more organisations who have not previously cooperated must organise the event. The originality of the event as well as cooperation that exceeds faculty, student nation, subject organisation or recreational organisation borders are considered advantages. The event must be organised in 2015. If the event is not organised before the registration ends, the event is evaluated based on the submitted description.
 
You can participate in the contest by submitting a written description of the event through

Sitsi song contest
 
HYY's Committee for Organisational Affairs declares open the NEW SITSI MUSIC CONTEST!
 
The song must have at least new lyrics but new melodies are also very welcome. The song should be suitable for sitsit but the theme of the song is optional. The song should be a new song produced for the contest, which has not been previously performed at sitsit or any other occasion.
 
All HYY's organisations can participate in the contest. You can participate by submitting your contest song to the prestigious jury. Please include the lyrics and the name of the used melody. In case of a new melody, please also deliver musical notes. In addition, we hope that you submit some kind of a recording of the performed song.
 
You can submit contest songs either by email to antti.pollari(a)helsinki.fi or alternatively on a CD to HYY's Central Office during its opening hours (Mannerheimintie 5 A, 00100 Helsinki) in an envelope with the text “JOPO-POLLARI” no later than 3pm on 23 Oct 2015. Late entries will not be considered.
 
The jury elected by HYY's Committee for Organisational Affairs will make the pre-selection and the final winner will be elected by HYY's Committee for Organisational Affairs.

Volunteer active members are the core of organisational activities, as we always need skilled workers. Does your organisation have an inspiring or a constructive way to train your active members? HYY's Committee for Organisational Affairs will organise a contest which looks for the best training event. The training event organised by your organisation may be of any kind, the duration or style do not matter. Diversity, quality and enthusiasm are the most important criteria.

The description must include the participating organisation, contact persons, the nature of the event, time and place. You should also submit photo and/or video material of the event.

Freshman activity contest
 
Does your organisation arrange incredible freshman activities?
 
The Freshman Committee is looking for the best freshman activities! Freshman activities may include freshman events or any form of activity, a deed that is aimed at new students and related to their receiption in the academic community. The main criteria is that the event aims to take into account all new students in the organisation: you get extra points if it is easy to participate in the event and if the event is original. The concept of the event does not have to be new but it must be implemented in the upcoming autumn.
 
You can participate in the contest by sending a description of your freshman activities (max. 1,000 words) and the contact person's details as an e-mail attachment (.doc/.odt/.pdf). The description should include at least one comment on the activities by a freshman of the organisation. You may also attach two photos with a description. The event must be executed before you participate in the contest.
Please send an e-mail including the description of your freshman activities to  jane.karna@helsinki.fi no later than 20 Oct 2015. Late entries will not be considered. The winner will be elected in the meeting of HYY's Freshman Committee. The winner will receive a gift certificate of one hundred (100) euro.

The Financial Committee of HYY decided in its meeting on the 21st of May that from now on at least one of the security people at parties must have completed the user training for Alina Hall. The information about the user training will be checked when the keys are collected. Some issues and unclarities have also been noted in the usage of Alina Hall during the spring.

For these reasons, the Committee for Organisational Affairs of HYY will arrange additional trainings before the academic year officially starts. Every organisation that wants to use Alina Hall during the autumn has to take part in the training regardless of whether it took part in the training in spring 2015. In the training, there will be a run-through of the facilities and equipment of Alina Hall, but there will also be a focus on matters related to security.

The training dates are 17.8,18.8, 24.8, 25.8, 26.8 and 3.9. The trainings always start at 5pm and are held in Alina Hall (Mannerheimintie 5 A, 3rd floor). The training takes about an hour.

Tuning Day 9 March 2015

Tune your organisation and make it even better! HYY welcomes all active members of recreational organisations, student nations, as well as subject and faculty organisations to Tuning Day on 9 March 2015. Baffled by the Associations Act? Can skills learned from organisations be used in working life? How to get international students more involved? Get the best tips on Tuning Day, a training event that offers a variety of training sessions to organisation members. The event will take place at the University Main Building at Fabianinkatu 33.

There is common information for everyone over breakfast, after which a variety of training sessions will be organised. To wrap up the day, we will gather at the Helsinki Think Company premises at Vuorikatu 5.

Grants available for campus meeting points

HYY allocates grants to student groups and organisations, which organise events on Wednesdays on campus meeting points. The grant is intended for the organising of programme on campus meeting points, such as coffee supplies, equipment or decoration. The grants are allocated in a discretionary manner but usually the amount is approximately EUR 50/organisation.

Campus meeting points were opened in the honour of the University's 375th anniversary. You can organise activities on campus meeting points on Wednesdays at 2pm-5pm. The meeting points are suitable for organising coffee breaks or meeting new members.

Please send the application to the address jarjesto@hyy.fi. The application should include the following: 
-The event organiser or the contact person of the organising party
-Date of the event
-The purpose for which you apply the grant and the estimated budget
-Bank account if other than the organisation account provided in Tahlo

"Suursitsit" are coming again!

Dear members of the Student Organizations,

Once again we are going to have "Suursitsit", the Grand Academic Dinner Party, at the Senate Square! The event in 2012 was a huge success and now we are planning do make it even bigger and better. 
This year will be special since now it is not only the 375th anniversary of the University of Helsinki but it has also been 150 years since the "ylioppislaslakki", Finnish graduation caps, were used for the first time. The event will be held on Thurday 28th of May at
17-22 o'clock.
The Senate Square has already been reserved and now we need to get as many student organizations to eat, drink and celebrate together. In other words we need all of you to make this party a success!
Each organization has the opportunity to reserve as many seats as they need. The organizations are in charge of taking their members registrations and payments for the event. They also have to take care of their own foods, tableware and drinks.  Every organization can suggest a song/s to a song booklet used in the event, and out of these suggestions the most popular ones will be selected.
A registration sheet will be sent to the organizations in March. You will also get then more information about the event via email, and there will be an info session. For the moment the most important thing for you to do is to find out how many people in your organization want to participate.
If you are interested in arranging this event there is still need for new enthusiastic members. University Students' Torch Parade on 6th Dec 2014

The student unions of the capital region HYY, AYY, TaiYO and SHS organise the traditional Independence Day torch parade of university students on Saturday 6th December.

The organising of the parade and the distribution of torches will begin at 4pm between the Väinämöinen  field and the Hietaniemi Cemetery gates. The torch parade leaves at 5pm towards the Senate Square and proceeds through the city centre and by the Presidential Palace where President of the Republic greets the parade. At the Senate Square public festivities begin at 5:55pm. The programme includes choir singing and speeches by Mayor Jussi Pajunen and the representatives of the student unions. The event ends approximately at 6:15pm. Please wear warm clothing and your student cap!

We kindly ask the organisations operating within HYY to inform us if your flag will participate in the laying of the garland at the War Memorial (organising at 3:30pm) and the parade. The Committee for Organisational Affairs is looking for new members

Would you like to have a broad understanding of HYY's organisation field, train active organisation members in the chairperson seminars, organise the most wanted contests of the year, organise sitsit on the street or develop the organisation field towards new challenges? Perhaps you already have new great ideas and insight to all of these matters. Only the sky is the limit in the Committtee for Organisational Affairs.

The new members for the Committee for Organisational Affairs will be elected in the election meeting at 4pm on 5 Dec. The meeting will be held at Cajsa (New Student House, Staircase B, 4th floor).
 
In addition to all the rewarding activities in the committee, you get to meet other active members across faculty borders and learn many new things, even if you think that you have seen it all! You also get to visit new places.

Welcome Fair: Wish our international students welcome!

Wish our international students welcome! Welcome Fair on 8th of January at the Language Center
It is possible for associations active within HYY to participate in the Welcome Fair for international degree and exchange students. The event takes place at the Language Center of the University of Helsinki on the 8th of January. Go international at home, join the event and invite international students in your associations’ activities!
It is possible to participate with a poster or flyers in english. Please deliver them by 15th of December to the Student Union office, Mannerheimintie 5 A, 2nd floor, 00100 Helsinki or by e-mail to HYY specialist Katja Långvik, katja.langvik@hyy.fi.
You can also participate on the premises in order to meet the newcomers in person, for some hours or for the whole day. The places available are limited, registrations to HYY specialist Katja Långvik by e-mail on katja.langvik@hyy.fi  before  the 15th of December. Reminder: Financial statement evening on 3 Dec

HYY will organise a training session for the treasurers of its organisations. The training session covers the preparing of financial statements. In the training session, you learn how to prepare financial statements for the organisation. APA Johanna Hilden is the instructor. The course is held in Mannerheim hall, at 5 pm-7 pm. The course will be held in Finnish.

In the training session, we will use Tilitin software, so please bring your own computer and install the software before the training session. You can download Tilitin for free here: http://helineva.net/tilitin/

Meritorious organisations were awarded in the organisation contests

The Committee for Organisational Affairs organises annual contests for organisations. This year, there were contests in six different categories. These included the freshman event, sports event, website, overall badge and organisation paper contest, as well as the academic affairs deed of the year. The winner organisations in 2014 were Sitoutumaton Vasemmisto, Polho, Natura, Kannunvalajat, AIESEC, Kopeda, Mana, Keho and Kontakti.

Furniture purchase grant - apply before Dec 12

HYY supports furniture purchases for interior decoration in organisational premises. The grant is intended for organisations which primarily operate on HYY's premises and the grant is mainly directed to the purchasing of tables, chairs, cupboards with locks and other interior items. The aim is that the furniture would increase the cosiness of the organisational premises and the willingness of organisations to look after their premises even better.

When allocating the furniture grant, we pay attention to the following: the ecological aspect, sustainability and necessity of the purchase. The furniture grant is not supposed to cover the entire purchase price but organisations are also expected to participate in the financing of the purchase.

The organisation secretary receives applications for the furniture grant throughout the year. The furniture grant is allocated twice a year, at the end of May and in the middle of December.
You can apply for the grant with an informal application, which should include the following information:
- applying organisation/organisations
- applied furniture 
- budget
- reasons for the purchase

Applications can be submitted by e-mail to jarjestosihteeri(at)hyy.fi or by mail to the Student Union of the University of Helsinki, PL 1099, 00101 HELSINKI. Organisations that receive the grant must provide copies of the receipts to the same address no later than within four months after the allocation of the grant.
