HYY & Stydi's blood donation challenge 3 Oct - 30 Nov - the biggest donor wins a sauna evening!


We are offering our hand to help this autumn, too – the Student Union of the University of Helsinki (HYY) and Stydi, the organisation for social work students, challenge all organisations operating within HYY to take part in this life-saving campaign.
The campaign, launched a year ago, continues with even greater excitement than before as it is now a part of the University of Helsinki’s campaign called ‘– luovuta verta, tue tiedettä’ (‘Good deeds – donate blood, support science’) that will last for the entire academic year. The campaign aims to create a positive atmosphere of doing good deeds and to encourage students and personnel to donate blood and, at the same time, support science. The Fin Donor 10 000 and GeneRISK studies provide valuable scientific information for healthcare and medicine to use. The University of Helsinki and the Finnish Red Cross’s Blood Service also cooperate extensively on other research projects that the campaign aims to shed some light on.

Every working day, around 800 volunteer blood donors are needed so that around 50,000 seriously ill patients (such as premature babies, cancer patients and accident victims) get the treatment they need annually. The patient could be you – donated blood cannot be replaced with medication. Many hands help more than one so let’s get the blood circulating together. It does not cost anything!
The blood donation campaign kicks off on 3 October 2016, and the organisations that donate the most blood both quantitatively and in proportion to their number of members during the campaign period of 3 October–30 November 2016 will win one sauna evening at HYY’s premises. Additionally, all donors receive a #HYYtymättömät overall badge as thanks for their heroism.

How to participate in the campaign:
1.    Update the contact information of your organisation’s BloodGroup by sending the name, phone number and email address of your contact person for this year to sanomatalo.verenluovutus@veripalvelu.fi. If you know the name of your previous contact person, mention that in your message.
OR Register a BloodGroup for your organisation at www.veripalvelu.fi/ryhmat. Name your BloodGroup as ‘HYY + your organisation’s name’ – for instance, HYY-Stydi.
2.    Let HYY know that you are participating in the campaign by filling in the following form: http://urly.fi/ELz
3.    Go and donate blood either as a group or one by one in one of the Blood Service Centres in the Capital Region or in a blood collection event. To help us keep scores, please remember to mention your organisation’s name to the staff when you sign up at your donation location.
If you want to donate blood as a group, please reserve a time for donation in advance by calling the Blood Service Centre. The contact information can be found at https://www.bloodservice.fi/blood-donation/donate-blood/where-can-you-do... and in the Facebook event. This way, Blood Service will be able to prepare for potential rushes. A suitable group size is around 4–6 persons, and you should reserve around an hour for the donation.
4.    It is recommended that you test your suitability as a donor in advance at www.sovinkoluovuttajaksi.fi. You can also call the free info phone for blood donors in case you have a question. The number is 0800 0 5801.
5.    Communicate about the campaign and about potential group donation days on your own channels. If you so wish, you can also use the material bank available at Blood Service’s website at www.veripalvelu.fi.
8.    Use the hashtags #HYYtymättömät2016, #HYYtymättömät, #HYviätekoja, #isokäsielämälle and #VeriRyhmä in social media so that the blood donation challenge gets spread and more patients get help. We communicate about the campaign on Facebook at www.facebook.com/HYY.HUS and www.facebook.com/veripalvelu as well as on the event page, hyy.fi/hyytymattomat. Follow us!

Reservation rounds for Alina Hall are here again. During the reservation rounds, user hours are reserved for the spring of 2017.
Alina hall can be booked during reservation rounds. There are two reservation rounds during the spring. In addition, an advance reservation round is organised. During these rounds, you can make two (2) reservations for Alina hall for the spring of 2017. You must have completed the user training for Alina hall by your own reservation date during the current calendar year. If the organisation does not participate in the training, the reservation will expire.
 
Reservations are made through an electronic form.

Advance reservations
Advance reservation round is 17 October - 23 October. During this period, organisations have the opportunity to book the Alina-hall in advance before the beginning of the actual reservation rounds if they have a good reason (e.g. anniversary) to apply for a specific date.

Advance reservation must include:
Name of the organisation that makes the reservation
Contact person and telephone number
Event for which you want to book the premises and the nature of the event
Decisions on advance reservations are made by the Committee for Student Organizations together with the board member in charge of organisations and the specialist (organisations) at 6pm-8pm on 25 October.


Actual reservation rounds
Reservations are made during two rounds. On each round, you can apply for one reservation for Alina hall if you have not made an advance reservation for Alina. Organisations must check the available hours from the Student Union's electronic calendar at
http://hyy.helsinki.fi/varaukset/
Reservation rounds will be organised on 26 October–3 November and 5 November–9 Nov.

The time you fill the application form for the reservations does not affect the outcome, but incomplete or late applications will be rejected. If there are overlapping reservations, the organisations in question will be offered other available dates through mediation. If agreement is not reached, the matter is settled by drawing lots. The Committee for Student Organizations is in charge of the mediation and the raffle.


NB! The contact person designated by the organisation should be reachable by telephone after the end of both reservation rounds when the reservations will be processed. In this way, the mediation of overlapping reservations is possible. Organisations should also consider alternative dates in case the original reservation overlaps with an event of another organisation. Please make sure to check before each booking that the requested date is available!

Prioritisation of reservations
Advance reservations concern particularly anniversaries, the afterparties of anniversaries and events with a specific date. If the organisation has not checked the available hours, it may affect the prioritisation order of reservations. The Committee for Student Organizations decides on the prioritisation together with the board member in charge of organisations and the specialist (organisations).

Overall badge

Does your organisation have an absurdly glorious or wonderfully hilarious badge either in the works or already waiting in its stash? If so, please send your badge for the Committee for Organisational Affairs to judge.
You can take part in the contest by sending either the badge or a sketch of it to the Committee for Organisational Affairs. Badges can be delivered to the committee by sending them to HYY’s Central Office (at Mannerheimintie 5 A, 00100 Helsinki), with “HYY’s Committee for Organisational Affairs / Overall badge contest” marked on the envelope as the recipient. Sketches, on the other hand, are sent by email to matias.i.nurmi(at)Helsinki.fi in either JPG, PDF or SVG format. Organisation paper contest

The search for the best organisation paper has begun again! Will your organisation be awarded with the coveted title? Find out by participating in the organisation paper contest organised by HYY’s Committee for Organisational Affairs. You can participate in the contest by delivering one printed or digital issue of the paper from 2016 to the Committee for Organisational Affairs. Printed papers along with a cover letter should be delivered to HYY’s Central Office (at HYY, Mannerheimintie 5 A, 00100 Helsinki), with “HYY’s Committee for Organisational Affairs / Organisation paper contest” marked on the envelope as the recipient. Digital material, on the other hand, is delivered to the Chair of the Committee for Organisational Affairs at matias.i.nurmi(at)helsinki.fi, along with a cover letter. The cover letter must include the name of the organisation publishing the paper and the name, email address and phone number of the paper’s contact person. Sent material will not be returned.
The winner of the contest is selected by a three-person expert panel convened by the Chair of the Committee for Organisational Affairs. The panel selects the winner based only on the paper submitted to the contest – any additional material will not be taken into account. The members of the panel are revealed in connection with announcing the winner.
The deadline for taking part in the contest is on 21 October at 3 pm. Late submissions will not be considered.

Sitsi song contest

The contest for new sitsi music is here again! The lyrics of the participating song must be new, but new melodies are more than welcome too. The song must be suitable for academic dinner parties (sitsit) but you can still choose the theme of the song yourself. The song must be new and produced for the contest, which means that it cannot have been previously performed at sitsit or any other event.
All organisations that operate under HYY may participate in the contest. The minimum requirement for participation is delivering the lyrics of the song and the name of the melody that is used or, in case of a new melody, the sheet music. It is also desirable to deliver some sort of recording of the song being performed.
Contest entries may be sent either via email to matias.i.nurmi(at)helsinki.fi or, alternatively, on a cd in an envelope to HYY’s Central Office (at Mannerheimintie 5 A, 00100 Helsinki) during its opening hours, with “HYY’s Committee for Organisational Affairs / Sitsi song” marked on the envelope as the recipient.
The winner of the contest is selected by HYY’s Committee for Organisational Affairs.

Sports contest

Did your organisation organise the best sports event of the year? Or did you come up with a new campaign to get your members to do more physical activities than before?
The sports contest for organisations is searching for the best sports event or campaign organised by our organisations. You can participate in the contest with events or campaigns organised by either one or several organisations, as long as the event or campaign occurred in 2016. In judging the events and campaigns, we give special consideration to those participants who have managed to inspire a greater number of students than before to enter the world of physical activities.
You can participate in the contest by sending a written description of the event to miran.hamidulla(at)oll.fi by 11 November at 3 pm. The description should include the name of the participating organisation(s), the contact persons and the type of the event as well as when and where it was organised. Photo and video material related to the topic is also more than welcome.
The winner of the contest is awarded with 100 euros.

International event/act

Has your organisation organised an exemplary international event? Did it help activate international students to participate in the organisation’s activities? Let the Committee for Organisational Affairs know about your event!
Only a single event that was held this year will be considered in the contest. The event must have already been organised, a preliminary plan about an event is not adequate. To qualify as an international event in this contest, an event should both be targeted towards the international community of an organisation or faculty and focus on reaching international students. The event should have helped activate international students to participate in the organisation’s activities. Multidisciplinarity and the creation of new networks is considered a merit.
You can participate in the contest by sending a free-form report or presentation on the event to matias.i.nurmi(at)helsinki.fi. The description of the event should include the names of the participating organisations, the contact persons and the type of the event as well as when and where it was organised. Career event/ act

Has your organisation organised a successful career event or done something else of merit to promote career affairs concerning students this year? Let the Committee for Organisational Affairs know about your event!
Only a single event that was held this year will be considered in the contest. The absolute size of the event does not matter, only how impactful it was. This is judged according to what kind of new career-related awareness and opportunities the event or act has brought to students. Examples of this kind of impact would be a new type of career-related cooperation with employers, increasing students’ career competences and bringing up new perspectives among your subject’s students or shedding new light on students’ potential. Multidisciplinarity and the creation of new networks is considered a merit. If the event has been organised previously, the application must compare the success of this year’s event to the last year.

Educational policy act of the year

HYY’s Committee for Academic Affairs wants to encourage organisations to advocacy work and concrete acts aimed at improving studying conditions. This is why the committee declares open this contest looking for organisations’ educational policy act of the year. You can participate  in the contest with an act aimed at improving the smooth progress of studies or with a statement related to educational policy. Did you organise a study circle, come up with a new way of collecting student feedback or offer the decision-makers sticks and carrots?
Tell us all about it! You can participate in the contest by sending a free-form report or presentation on the event to piia.pasanen(at)helsinki.fi. The description of the event should include the names of the participating organisations, the contact persons and the type of the event as well as when and where it was organised. Alternatively, you can deliver descriptions printed on paper, along with a cover letter, to HYY’s Central Office (at HYY, Mannerheimintie 5 A, 00100 Helsinki), with “HYY’s Committee for Organisational Affairs / Educational policy act” marked on the envelope as the recipient.

The winner of the contest is selected by HYY’s Committee for Academic Affairs.
The deadline for participating in the contest is on 11 November at 3 pm.
Late submissions will not be considered.
The winner of the contest will be awarded with 100 euros.

Reservation rounds for Alina Hall to begin on 14 March


Reservation rounds for Alina Hall are here again. During the reservation rounds, user hours are reserved for the autumn of 2016.
Alina hall can be booked during reservation rounds. There are two reservation rounds during the spring. In addition, an advance reservation round is organised. During these rounds, you can make two (2) reservations for Alina hall for the autumn of 2016. You must have completed the user training for Alina hall by your own reservation date during the current calendar year. An additional training session is organised, if necessary, in the autumn of 2016. If the organisation does not participate in the training, the reservation will expire.
 
Reservations are made through an electronic form.

Advance reservations
Advance reservation round is 14 March - 20 March. During this period, organisations have the opportunity to book the Alina-hall in advance before the beginning of the actual reservation rounds if they have a good reason (e.g. anniversary) to apply for a specific date.

Advance reservation must include:
Name of the organisation that makes the reservation
Contact person and telephone number
Event for which you want to book the premises and the nature of the event
Decisions on advance reservations are made by the Committee for Student Organizations together with the board member in charge of organisations and the specialist (organisations) at 6pm-8pm on 21 March.


Actual reservation rounds
Reservations are made during two rounds. On each round, you can apply for one reservation for Alina hall if you have not made an advance reservation for Alina. Organisations must check the available hours from the Student Union's electronic calendar at
http://hyy.helsinki.fi/varaukset/
Reservation rounds will be organised on 22 March–29 March and 31 March–8 Apr.

The time you fill the application form for the reservations does not affect the outcome, but incomplete or late applications will be rejected. If there are overlapping reservations, the organisations in question will be offered other available dates through mediation. If agreement is not reached, the matter is settled by drawing lots. The Committee for Student Organizations is in charge of the mediation and the raffle.


NB! The contact person designated by the organisation should be reachable by telephone after the end of both reservation rounds when the reservations will be processed. In this way, the mediation of overlapping reservations is possible. Organisations should also consider alternative dates in case the original reservation overlaps with an event of another organisation. Please make sure to check before each booking that the requested date is available!

Prioritisation of reservations
Advance reservations concern particularly anniversaries, the afterparties of anniversaries and events with a specific date. If the organisation has not checked the available hours, it may affect the prioritisation order of reservations. The Committee for Student Organizations decides on the prioritisation together with the board member in charge of organisations and the specialist (organisations).

Register by Jan 17.1. 10 PM to Alina hall's user trainings. If you would like to participate in user training held 25.1. register by Jan 24.1. at the latest. Every organisation wishing to use the hall must send at least one participant to the training and at least one of the security people at parties must have completed the user training for Alina Hall. The information about the user training will be checked when the keys are collected.

The application form for the operating grant TAHLO is also used as HYY's organisation database and now you can submit the contact information of organisation members in the year of 2016. Organisations can apply for the operating grant and the organisation paper grant through TAHLO. The deadline for application attachments is Monday, 29 Feb. More information on HYY's organisation grants will be provided in January.

Welcome Fair on January 14, 2016 at the Language Center
Go international at home, join the event and invite international students in your organisations’ activities! It is possible for student organisations within HYY to participate in the Welcome Fair for international degree and exchange students. The event takes place at the Language Center of the University of Helsinki on the January 14, 2015, between 10 a.m. and 4 p.m. The places available for student organisations are limited.

The year draws to a close and your organisation's financial statements are looming on the horizon. But what should you enter in the balance sheet account? What is included in the financial statements? What is the difference between assets and liabilities in the balance sheet? Who signs the financial statements?

HYY organises a financial statement evening for treasurers where you learn to prepare the financial statements for your organisation. APA Johanna Hildén is the instructor. The training session will be held at Mannerheim Hall at 5pm-8pm on 10 Dec. The training session is held in Finnish. Organisation meeting of the Committee for Organisational Affairs at 6pm on 3 Dec

The action-filled year of HYY's Committee for Organisational Affairs will culminate in the election meeting organised on 3 Dec. In the election meeting, the chair, vice chair and secretaries are elected for the following year. However, you can also join the committee activities in the middle of the year!

Are you interested in developing the Student Union's organisation field or do you just want to get to know other organisation members and be inspired?
You can do all this in the Committee for Organisational Affairs!

In order to participate in the committee activities, you do not need any prior knowledge, it is enough that you are interested in organisations. You can be a freshman or a more experienced student. Meetings are open to all HYY's members.
